Yealink desk phone — the essentials

Everything you need for day one with your Yealink desk phone on the Jabblefish cloud phone system. Making and answering calls Dial the number and press # or the Send soft key to call immediately (no waiting for a timeout). There's no "0 for an outside line" — just dial the number. Answer by lifting the handset, or pressing Speaker or Headset. Transferring a call To a programmed colleague (BLF key): with the caller on the line, press your colleague's key, then Transfer — or hang up — to complete. To any number: press Transfer, dial the extension or number, then press Transfer again (or hang up) to complete. Want to announce the caller first? Stay on the line until they answer, then complete the transfer. Hold, swap and park - Hold: press Hold; retrieve with Resume or the flashing line key. - Two calls at once: use the Swap soft key to bounce between them. - Park: press a park key (or dial #700) to put the call in a shared "parking spot" — anyone in the office can pick it up by dialling 701–720. Conference calls Press Conference, dial the second person, announce when they answer, then press Conference again to join everyone together. Do Not Disturb & pickup - DND: press the DND soft key — the screen shows an indicator while it's on. - Pick up a ringing colleague's phone: dial *8 (group) or *88 + their extension. Voicemail Press the Message key or dial *123, then enter your PIN if asked. Contacts - Phonebook key: your organisation's shared contacts (searchable via the keypad) - Internal key: every extension in your system Need a key programmed or something's not behaving? Take your office number anywhere — the mobile app

The Communicator GO app turns your mobile into your office extension — make and take business calls, chat with the team, and check voicemail from anywhere, over WiFi or mobile data. Setting it up Install Communicator GO from the App Store or Google Play, then sign in one of three ways: 1. QR code (easiest): scan the QR code from your welcome email, from the desktop Communicator app, or from your Self Care Portal. The email QR works once and asks you to set a new password. 2. Manual: enter your email address, password, and the server address from your welcome email. 3. SSO: tap SSO Login, enter the server, and sign in with your provider. Allow the microphone and contacts permissions when prompted — it can't make calls without them. Good to know - Green call button = call over data (normal). Yellow button = callback mode, handy when data is poor: the system rings your mobile and connects the call. - VPNs interfere with calling. If calls won't connect and you run a VPN on your phone, disconnect the VPN and try again. - Your call history syncs with your desk phone and desktop app. - Voicemail, chat (with attachments and voice messages), the company directory and favourites are all built in. - On mobile data, "Use SIP over mobile networks" is on by default — calls use a trivial amount of data. Troubleshooting quick hits - Can't sign in: your login is the same as the desktop Communicator app. Not sure? Ask us or your admin. - Calls fail on WiFi: try the yellow callback button, or check the VPN note above. - Poor call quality: the in-call quality indicator (MOS score) helps us diagnose — screenshot it and raise a ticket.

Your Self Care Portal

The Self Care Portal is your personal control panel for your phone extension, in any web browser. Logging in: use the same email address and password as your Communicator apps. (Lost track of it? Contact us or your office admin.) What you can do there - Dashboard — a summary of your extension at a glance - My Details — change your password and PIN, and switch on two-factor authentication (we recommend it) - Call History (CDR) — search every call you've made and received - Directory — every extension in your organisation - Personal Phone Book — your own contacts, synced to your Communicator apps and supported handsets - Voicemail — listen to and manage messages from the browser - Meetings — view and manage your conference meetings - SMS Report — if SMS is enabled for you, the full history lives here - Services — adjust features on your extension (what's visible depends on what your admin has enabled) Tip: the Personal Phone Book is the underrated one — add your regular contacts once and they follow you to the mobile app, desktop app and your desk phone. Troubleshooting — calls failing or not behaving

The fixes for the call problems we see most often. "Call Failed" when dialling from the desktop app The cause (nearly every time): the app defaults to using a desk phone as its calling device. If you don't have a physical desk phone registered on your extension, every call fails. The fix: 1. Open the phone dialler in the Communicator app 2. Look at the device selector in the lower-right corner — it likely says Deskphone 3. Click it and choose Softphone 4. Accept the prompt and make a test call Calls from private/withheld numbers ignore my call forwarding If calls from "No Caller ID" numbers don't follow your forwarding rules, your extension is missing a Caller ID assignment. This one needs a quick change on our side — raise a ticket with the extension number and we'll set it. I can't find the Central Phone Book in the desktop app It moved in a recent version. It's now under: Home tab → Contacts → Central Phonebook. Checking your own audio Dial *398 for an echo test — you'll hear your own voice played back. If the echo is clear, your microphone, speaker and connection to us are all fine, and the problem is likely on the far end. Voicemail from someone else's desk Dial *124, then enter the mailbox's extension number and its PIN. Handy when you're covering a colleague's phone. Still stuck? Why does the wrong company name show when I call people?

You call a customer, and their mobile flashes up an old business name — or someone else's entirely. Frustrating, but here's the thing: it's not your phone system doing it. What's actually happening When your call arrives, the receiving phone looks your number up and displays whatever name it finds. Australia has no single official database for this — each phone manufacturer and app maintains its own lookup service, and they're often out of date. How to fix it Update your business name against your phone number in the databases the big platforms actually use: 1. Google Business Profile — make sure your listing shows the correct name and phone number 2. Apple Maps — submit a correction to your business profile 3. Infobel Australia — the business data portal used by several lookup services 4. Hiya — the caller-ID database used by many Android manufacturers; submit a correction request Updates typically take a few weeks to flow through, and each database is independent — fixing one doesn't fix the others. The reliable shortcut Any customer who saves your number in their contacts will always see your saved name — their phone's own contact list beats every database lookup. Recording and managing your voicemail greeting

Your voicemail greeting is often the first impression a missed caller gets — here's how to set it and keep it current. Recording a greeting From your own extension: - *301 — record a new greeting - *303 — modify your existing greeting - *304 — overwrite the existing greeting with a fresh recording Follow the voice prompts, speak clearly, and press # when you're done. You'll usually get the chance to review and re-record before saving. A greeting worth leaving A good business greeting: your name and business, that you've missed the call, when you'll get back to them, and an alternative for anything urgent. For example: "You've reached Jane at Jabblefish. I'm sorry I've missed your call — please leave your name, number and a short message and I'll call you back today. For anything urgent, call our team on 1300 522 253." Checking your messages - *123 — access your own voicemail - *124 — access any mailbox (enter the extension number, then its PIN) — handy when covering a colleague You can also listen to, and manage, voicemail from the Self Care Portal and the Communicator apps. Away for a while? Consider a temporary greeting for holidays or leave, and switch on Do Not Disturb (*78) so calls go straight to voicemail. Turn it back off with *79 when you're back.
